Important to pay salaries in the right income year:
It is important to remember that the December pay must be paid out in December. In the other 11 months of the year, it is fine if pay is only paid out in the following month, but if this happens in December, the pay will only be counted in the 2025 income year instead of 2024.
If the pay is counted in the wrong income year, this can cause problems for the employee's pension, holiday pay and deductions, and it means extra work for you as the one doing payroll, as you have to make sure all parts of the pay match the correct income years.
In Zenegy Payroll you will always be alerted to any errors or irregularities in the payroll, so you can be sure of an accurate pay run every time. You can also pull reports that make the pay run both faster and clearer. Read more about reports.
Deadline for the December payroll:
Zenegy's deadline for the December pay run is Friday 27 December at 08:00 for NemKonto transfers and at 10:00 for Overførselsservice, if the pay is to be available on 30 December. Read more about pay run deadlines in Zenegy.
Reconciliation with eIncome and bookkeeping:
eIncome:
At the end of the year, you must make sure the company's payroll matches the reports sent to SKAT. You can reconcile using a list from eIncome under ‘Tast Selv Erhverv’ on SKAT's website, which can be uploaded to Zenegy for a clear reconciliation overview. Read more on SKAT's website.
Bookkeeping:
Your payroll system must be reconciled with your finance system.Reconcile Zenegy with your finance system. When you run payroll in Zenegy, the payroll is booked, and you can choose to have the entries transferred directly to your accounting software. Read more about the bookkeeping overview here.
Holiday
The holiday-taking period for holiday earned between 1 September 2023 and 31 August 2024 ends on 31 December 2024.
If employees have holiday they haven't taken, they should be reminded to take it before the turn of the year. A maximum of 5 holiday days can be transferred to the next holiday year. The Holiday Act allows 5 of the 25 holiday days earned to be paid out or transferred, while holiday days beyond this must be paid into Arbejdsmarkedets Feriefond if they are not taken. Read more about the rules for the 5th holiday week.
Settling SH savings and the free choice scheme
If you have employees with SH savings or a free choice scheme, you need to check which collective agreement applies. In many cases, SH and the free choice scheme are paid out with the last pay of the year.
Free choice:
Free choice can be set to be paid out automatically, in a month you choose, for each employee. For example, the last pay run of the year. This makes sure the payout matches the financial year. See a detailed overview of setting up free choice.
SH:
Some collective agreements require SH to be taxed in the current year and paid out net the following year. If this applies to your employees, you can set up the system for this kind of payout. SH can be set to be paid out automatically in a month you choose, for each employee. If an employee leaves with a negative SH balance, the amount is automatically deducted from the payout when they leave. See a detailed overview of setting up SH.
Tax information
The year-end is a good opportunity to make sure employees' tax cards are up to date. When an employee is created in Zenegy, a request is automatically sent to SKAT to subscribe to the employee's tax card. Changes to the tax card are then updated in Zenegy, although it can take up to 14 days before the information is received from SKAT. So remember to remind employees to decide on their withholding rate and any extra pension contributions. In Zenegy, you can send a request to fetch or update to the latest tax card for all active employees at once. Read more about tax cards here.
Registrations and leavers
Make sure you go through all registrations of holiday, absence and out-of-pocket expenses before the last pay run of the year. If an employee leaves at the turn of the year, this must be registered in December, so holiday and other balances are settled correctly. If payments are delayed, it can affect the new income year. Read our guide for when an employee leaves.
