Out-of-pocket expenses
Expenses with a receipt. Paid back with the salary.
The employee takes a photo of the receipt, and the expense is booked with it. Once it's approved or posted, you settle it through payroll, and it's included in the next pay run. No file to move.

One login. You switch between payroll and accounting with the same login.
Employees are created once. From there, you give them access to payroll and out-of-pocket expenses, with the same login.
Accounts and departments come from Numbers. If you change an account number in Numbers, Payroll updates it by itself. You can choose a new department in Payroll straight away.
Your accountant gets access to both. Free, in both payroll and accounting.

What does it cost?

We already run payroll in Zenegy. How do we get Numbers?
You add Numbers under System › Billing › Products (this requires the System Administrator role). Once the accounting connection is switched on, you can also transfer earlier pay runs.
Can we keep our accounting software?
Yes. Payroll can also send the payroll bookkeeping to e-conomic, Dinero, Dynamics 365, Business Central and Billy, and Uniconta has an integration too. The Full Financial Suite is for you if you want payroll and accounting in the same place. See Payroll.
How does payroll get into the accounts?
When you run payroll, Payroll sends the entries to a journal in Numbers, with the pay run report as the voucher. You check them and book them. You switch on the connection in Payroll once: you choose the journal and match accounts and departments.
The connection requires payroll to be booked with AM accounting, which is Zenegy's standard. If you use gross accounting for payroll, for example to use cost centres and profit centres, it doesn't work today. You book the actual payments of pay, tax, ATP and holiday pay from the bank, like your other payments, and with a bookkeeping rule Numbers can match them for you.
Can out-of-pocket expenses be paid out with the salary?
Yes. You settle an approved out-of-pocket expense via Payroll, with a settlement date before the pay run, and it's included in the next pay run. You can also pay it straight to the employee's bank account from Numbers, with a payment integration to your bank.
Can my accountant get access?
Yes, free of charge, to both payroll and accounting. If you'd rather hand the work over, we have certified Zenegy partners. Find a partner.
Can we start with one and add the other later?
Yes. You can start with Payroll or Numbers and add the other to your account when you're ready.
How do we move over from our current systems?
You create your employees one at a time or with our import file, and you bring this year's pay and holiday along as start balances before the first pay run.
From e-conomic, we move your chart of accounts, customers and suppliers, with up to five years of history from your most recently closed accounts. It costs DKK 999. If you're coming from another accounting program, we'll agree the move with you. Write to sales@zenegy.com before you create your agreement.
