Glaseksperten has digitised payroll and time registration

Glaseksperten has approx. 150 employees, 90 of whom are hourly paid. They have day, evening, night and weekend shifts. In the busiest periods, production runs 24 hours a day. So they need a time registration system that can handle complex time rules, and the people who approve hours and the administration need a system that gives them an overview of the many employees.

Glaseksperten was looking for a time registration system that could talk 100% to their payroll system. That was something they had big problems with in their old systems.

“We needed to get a lot of processes digitised and automated. The two systems could help with that.”

The old systems involved a lot of manual work

As no data was exchanged between the old time registration system and the old payroll system, a lot of manual work went into transferring data. In the old systems, they had to export files, which then had to be converted, before loading the file into the other system.

This was a time-consuming process, which also carried a big risk of manual errors creeping in at several points along the way.

“With our old systems, we found that there was no interaction between them. There was a lot of manual work and files that had to be converted. This could lead to errors,” says Simon from Glaseksperten.

An open API can automate processes

Glaseksperten's old time registration system was very locked down. If anything needed changing, they had to contact an external developer, which was both expensive and time-consuming.

If a company finds that it needs to make adjustments to the system, that's not a problem with Zenegy Time. Zenegy Time can easily be configured to fit the company's specific needs.

There's an API integration between Zenegy's payroll system and Zenegy Time, so all data is exchanged and updated automatically between the two systems every day.

Became a customer of both Zenegy's payroll system and Zenegy's time registration system

As mentioned, Glaseksperten needed to find both a payroll system and a time registration system that could easily talk to each other and share data across the board.

So the choice fell on Zenegy's payroll system and Zenegy's time registration system, Zenegy Time. The two systems are built on an API integration, which means the systems share data without problems. That way, Glaseksperten has automated many of its processes.

A good onboarding process

Glaseksperten first became a customer of Zenegy's payroll system, and once they had that system fully under control, they were onboarded as a customer of Zenegy Time.

“The onboarding process was a really, really good experience. Zenegy has delivered on everything we were promised.”

Approval and administration have become much easier
Approval used to be something that was passed on to the finance department. It has now moved to the production managers, who can now approve hours, absence, holiday etc. for their employees.

“When it comes to managing hours and keeping control of the hours used in production, we've taken a quantum leap.”

Found help in Zenegy's Help Centers

Glaseksperten has found a lot of help by using Zenegy's Help Centers.

“Zenegy's Help Centers are super good. They have been a huge help.”

There's a Help Center for both Zenegy Payroll and Zenegy Time, with hundreds of help articles and videos.

The employees are very happy with the switch, and especially with their new employee app
It has also become very easy for the employees to make registrations. They can do this in their Zenegy Time app, which has been configured for each individual employee, so they only see the features that are relevant to them.

“The switch has absolutely been a positive experience for everyone.”

The employees have really taken to the app. Among other things, the app has helped remove all the doubts that used to arise about absence, holiday etc. That no longer happens, as the employees can follow all their information in the app, and the person who approves their hours can see the same information in the system.

A tool for holding employee reviews

When the production managers hold one-to-one meetings with their employees, they also use Zenegy Time as their starting point. Here they can see exactly how many hours the employee has worked, whether they have been late, whether they have worked overtime etc.

GDPR compliance

The switch has also meant that Glaseksperten is 100% sure that they comply with all GDPR rules. Payroll and time registration systems involve a lot of sensitive personal data. By using Zenegy's payroll system and Zenegy's time registration system, which, as mentioned, exchange data through an API integration, there's no risk of the rules not being complied with.

“The GDPR part is really good too. It means you meet all the rules.”

Halved the time they spend on payroll

“We have saved a lot of time by using both systems together. On the payroll side, we have at least halved the time we spend, compared with before.”
